Purpose

Standardize how new buyer and seller clients are onboarded so that listing agreements, disclosures, and Dotloop transactions are set up correctly from the first meeting. Agents who skip steps during onboarding create compliance issues that surface during closing — when it's most expensive to fix.

Scope

Covers buyer and seller onboarding from initial consultation through transaction setup in Dotloop. Does not cover the transaction management process after the property goes under contract.

Prerequisites

  • Dotloop account configured with brokerage templates
  • Listing agreement and buyer representation agreement templates current with state requirements
  • CRM (Zillow Premier Agent or similar) set up with intake workflow
  • Fair Housing training completed by all agents within the last 12 months
  • Agency disclosure forms current per state licensing requirements

Roles & Responsibilities

Listing Agent / Buyer Agent

  • Conduct the initial consultation and assess client needs
  • Present and execute the representation agreement
  • Set up the transaction in Dotloop within 24 hours of signed agreement

Transaction Coordinator

  • Verify all required disclosures are completed and filed
  • Set up the transaction timeline with key dates in Dotloop
  • Coordinate with title company, lender, and cooperating agent

Broker

  • Review representation agreements for compliance
  • Approve listing prices within the brokerage's guidelines
  • Handle any dual agency or conflict situations

Procedure

Meet with the prospective client (in person or video) to assess their needs: buying or selling, timeline, budget or price range, location preferences, and any special requirements. For sellers, discuss pricing strategy and market conditions. For buyers, determine pre-approval status and search criteria. Document everything in the CRM.

Why This Matters for Real Estate

Real estate onboarding mistakes compound through the entire transaction. A missing disclosure discovered during closing delays the deal and frustrates everyone involved. An unsigned representation agreement means the agent has no legal protection for their commission if the client works with another agent. Real Estate-Specific Notes

Verify your templates against current state real estate commission requirements at least annually. Fair Housing compliance starts at onboarding — document that you offered the same services and information to every client regardless of protected class status.
