Employee Onboarding SOP Template for E-Commerce Teams
Free employee onboarding SOP template for e-commerce teams. Step-by-step with checklist, roles, and KPIs for Shopify, ShipStation, and warehouse operations.
Purpose
Bring every new e-commerce hire — from warehouse associates to customer support agents to marketing coordinators — to full productivity within 21 days. This SOP covers Shopify Admin training, ShipStation access provisioning, warehouse safety orientation, PCI DSS awareness training, and role-specific ramp-up milestones.
Scope
Covers Day 1 through Day 21 onboarding for all full-time and seasonal e-commerce hires. Applies to warehouse staff, customer support agents, marketing team members, and operations coordinators. Does not cover contractor onboarding or executive hires, which follow separate procedures.
Prerequisites
- Signed offer letter and completed background check on file
- Shopify Admin account pre-created with role-appropriate permissions (staff vs. limited staff)
- ShipStation user account provisioned with correct warehouse assignment
- Zendesk agent seat activated (for support hires) or view-only access (for other roles)
- Warehouse safety handbook printed and badge/access card programmed (for warehouse hires)
Roles & Responsibilities

- Send the welcome packet with benefits enrollment links 3 business days before start date
- Conduct the Day 1 company orientation covering policies, PTO, and org structure
- Schedule the 14-day and 21-day check-in meetings with the new hire and their manager
Direct Manager
- Prepare a 21-day onboarding plan with 3 role-specific milestones
- Lead daily 15-minute check-ins during Week 1 to answer questions and remove blockers

- Walk through forklift zones, emergency exits, PPE requirements, and injury reporting procedures

Three business days before the start date, HR sends a welcome email containing: benefits enrollment link (must complete within 30 days), employee handbook PDF, parking/facility instructions, and the 21-day onboarding schedule. For warehouse hires, include the safety handbook and a note about required footwear (steel-toe boots).
- aPull the welcome email template from the HR shared drive and customize with the hire's name, role, and start date
- bAttach benefits enrollment PDF, employee handbook, and onboarding schedule
- cFor warehouse hires: add safety handbook attachment and note about required PPE
- dCC the direct manager and onboarding buddy on the email

Why This Matters for E-Commerce
E-commerce teams hire in bursts — seasonal ramp-ups, new warehouse openings, post-funding growth spurts. Without a documented onboarding SOP, each new hire gets a different experience depending on who happens to train them. The result: inconsistent order accuracy, PCI compliance gaps, and a 60-90 day ramp that should take 21 days. Seasonal hires are especially vulnerable — they're often thrown into peak volume with minimal training, which drives up error rates and return costs.
Common Mistakes
- ×Giving new hires full Shopify Admin access on Day 1 before they complete PCI DSS training — this is an audit risk
- ×Skipping the warehouse safety orientation for 'experienced' hires who say they've done it before — every facility has different hazards and procedures
- ×Assigning the direct manager as the onboarding buddy, which prevents new hires from asking basic questions without feeling judged
- ×Using a generic onboarding checklist instead of role-specific milestones — a warehouse associate and a marketing coordinator have completely different Week 1 tasks
- ×Not recording training sessions, forcing someone to re-deliver the same Shopify walkthrough every time a new person joins
E-Commerce-Specific Notes
E-commerce onboarding must address PCI DSS from Day 1. Any employee who can view, process, or refund customer payments needs documented PCI awareness training before they touch a live order. Shopify permissions should be tiered: read-only during training, expanding to full access only after training verification. Warehouse hires face additional OSHA requirements — the safety orientation is not optional and must be documented with a signed acknowledgment form. During seasonal hiring, create a condensed 5-day onboarding track that covers critical safety and compliance items first.
