Purpose

Bring every new e-commerce hire — from warehouse associates to customer support agents to marketing coordinators — to full productivity within 21 days. This SOP covers Shopify Admin training, ShipStation access provisioning, warehouse safety orientation, PCI DSS awareness training, and role-specific ramp-up milestones.

Scope

Covers Day 1 through Day 21 onboarding for all full-time and seasonal e-commerce hires. Applies to warehouse staff, customer support agents, marketing team members, and operations coordinators. Does not cover contractor onboarding or executive hires, which follow separate procedures.

Prerequisites

  • Signed offer letter and completed background check on file
  • Shopify Admin account pre-created with role-appropriate permissions (staff vs. limited staff)
  • ShipStation user account provisioned with correct warehouse assignment
  • Zendesk agent seat activated (for support hires) or view-only access (for other roles)
  • Warehouse safety handbook printed and badge/access card programmed (for warehouse hires)

Roles & Responsibilities

HR Coordinator

  • Send the welcome packet with benefits enrollment links 3 business days before start date
  • Conduct the Day 1 company orientation covering policies, PTO, and org structure
  • Schedule the 14-day and 21-day check-in meetings with the new hire and their manager

Direct Manager

  • Prepare a 21-day onboarding plan with 3 role-specific milestones
  • Lead daily 15-minute check-ins during Week 1 to answer questions and remove blockers
  • Conduct the 21-day performance review and set 60-day goals

IT / Systems Admin

  • Provision Shopify Admin, ShipStation, Zendesk, and Google Workspace accounts before Day 1
  • Configure POS terminal access for retail-facing roles
  • Verify all accounts work and MFA is enabled before the new hire's first login

Warehouse Safety Lead

  • Conduct the 90-minute warehouse safety orientation for all warehouse hires on Day 1
  • Walk through forklift zones, emergency exits, PPE requirements, and injury reporting procedures
  • Sign off on the safety acknowledgment form and file in HR records

Procedure

Three business days before the start date, HR sends a welcome email containing: benefits enrollment link (must complete within 30 days), employee handbook PDF, parking/facility instructions, and the 21-day onboarding schedule. For warehouse hires, include the safety handbook and a note about required footwear (steel-toe boots).
